Purpose of Position

The Travel & Expense Report Auditor reviews, verifies, authorizes and retains Executive Jet Management Crew/Non-crew Expense Reports in compliance with company policy for expense control. The Travel & Expense Report Auditor communicates discrepancies to Crew Members and company management as needed. This role reviews submitted expenses for accuracy, validity, and completeness; identifies discrepancies; and partners with employees and managers to resolve issues. The T&E Auditor plays a key role in safeguarding company resources, improving expense processes, and supporting financial reporting integrity.

Tasks and Responsibilities

  • Review and audit employee travel and expense (T&E) reports to ensure compliance with company policies, IRS/tax guidelines, and regulatory requirements.
  • Verify supporting documentation, receipts, cost allocations, and expense categories for accuracy and completeness.
  • Identify non-compliant, duplicate, or fraudulent expenses and follow up with employees and approvers for clarification or correction.
  • Process approved expense reports accurately and within defined service-level timelines.
  • Maintain audit logs, exception reports, and documentation for compliance and audit readiness.
  • Provides support to Concur web-based and mobile app users, which includes assistance with service features, policy, and payment inquiries.  Documents appropriate details of inquiry, takes ownership and researches situation thoroughly, taking timely action with follow-up, and escalating appropriately as determined by policy and processes.  Utilizes tools and all systems proficiently to document activity and effectively troubleshoot and resolve issues.  Requires extensive utilization of Intellijet, Acces Database, and Concur.
  • Collaborate with Finance, Accounts Payable, HR, OS, and Travel teams to resolve disputes and ensure policy alignment.
  • Audit expense reports based on expense audit rules to determine compliance with the T&E Guidelines, procedures, and company policy.  Identify signs of abuse, fraud, or expense policy violations.  Ensure that appropriate documentation is in place to support transactions.  Identify problems with processes, technology, and/or procedures, and recommend improvements.  Works with other departments to obtain necessary information through research process.
  • Protects organization integrity by keeping information confidential, and reviews/analyzes trends to escalate problems as appropriate to prevent abuse of travel privileges.
  • Assist in system testing, policy updates, and implementation of new T&E tools or platforms.
  • Functions as subject matter expert, offering support and coverage to team members as needed.
