Title: Events Specialist, Senior (NJE)

Purpose of Position
The Events Specialist, Senior oversees the execution of multiple Owner and Prospect events for UHNWI clients throughout Europe. The Events Specialist, Senior will support the department with providing exceptional, money-can’t-buy experiences for existing clients to strengthen relationships and encourage loyalty, always with the NetJets brand front of mind. This will be achieved by managing assigned events from ideation to delivery, pro-actively maintaining and supporting systems; managing invitation guest lists; providing support on other events and assist in all other areas of event organisation ensuring that the department runs smoothly and effectively while also executing flawless events, on-brand, on-time and within budget.
This position requires frequent travel to events throughout Europe.
Tasks and Responsibilities
• Planning of the largest, most high profile planned events with a constant focus on budget parameters and cost saving opportunities.
a) Plays an active part in planning of high profile NetJets Owner Events, e.g. Monaco Grand Prix, Art Activations, Gastronomic Events, Tennis clinics with tennis legends;
b) Manages smaller partner events and statics to include pre-event and on-site briefings, and all coordination with suppliers and the Sales team before the event and on-site;
c) Assists in the planning of the Bi-annual Sales Team Meeting and any internal events as required;
d) Ensures on-site flawless execution supporting on pre-event communications, guest arrival process, onsite event management, onsite print, Owner gifts, post-event communication etc;
e) Preparation of all relevant event documentation including contracts, function sheets, floor plans, table plans, place cards, menus etc;
f) Produce clear project plans and event budgets for each event and co-ordinate with all areas of Marketing and Communications to produce outstanding client experiences;
g) Prepares and ensures contracts are put in place for each event and signed and returned by clients;
h) Contribute to all aspects of event management from location selection to catering etc;
i) Execute events efficiently and with an eye for detail and continuous improvement;
j) Ensure that all aspects of the event are managed in line with NetJets branding including the invites, the design of event, and the way guests are received and hosted during the event.
• Supports with management of Owner communication inbox. This is key to the success of the event and allows the team to identify unique opportunities to enhance the Owner experience.
a) Demonstrate excellent response skills at all times;
b) Ensure all client interaction is first class and beyond expectation.
• Managing event admin requirements.
a) This includes but not limited to, raising POs for events, submitting invoices in a timely manner and ensuring invoice tracker is up to date;
b) Manages team travel and shipments to events;
c) Ensuring Salesforce campaigns are updated pre-event to communicate to the sales team on which Owners/Prospects are attending, and post-event on who attended to give accurate figures for analytics.
• Helps in the execution of overall company and event goals, and objectives of the Events and Marketing team.
a) Follows and executes yearly event goals and objectives set out by the Events Lead;
b) Maintaining a can-do attitude with the goals to always improve and adapt to change;
c) Contributing to the overall success of the company through the Events programme, for example, providing the Sales Team with a platform to sell to their clients and prospective clients.
• Facilitates solutions regarding any issues that affected an event.
a) Problem solving quickly, efficiently and accurately to provide the best outcome;
b) Liaising with the Events Lead to come to the best solution;
c) Quick thinking and proactive approach to ensure our customers receive the best results at the events;
d) Other duties can be performed subject to being within the same professional career, considered related or functionally linked.

Essential:
• Minimum 4-6 years event experiences, preferably in the luxury sector;
• Demonstrable experience/interest in the luxury events industry;
• Fluent in English written and spoken;
• Outstanding written and verbal communication skills;
• Excellent self-presentation;
• Positive and energetic mindset, up for a challenge, excellent team player;
• Comfortable working with a wide variety of teams throughout the organisation;
• Strong people interpersonal skills;
• Strong budget planning and compliance skills;
• Strong vendor relationships and negotiation skills;
• Strong project management skills;
• Excellent Microsoft Office skills, including Excel, PowerPoint, Word and Outlook;
• Highly organised with excellent planning skills and ability to prioritise tasks;
• Experience of dealing with VVIP/High Net Worth Individuals;
• A creative thinker, able to keep calm in a busy environment;
• Will have worked end to end on projects, from concept to production and delivery to final reconciliation post event.
Preferred:
• University Degree or Post Grad in Events Management;
• Knowledge of one or more European language (French, German, Italian preferred);
• Experience with Salesforce and Cvent.
